Tags are the simplest way to remember what you know about each contact in Systeme.io. A segment is just a group of contacts who share a tag (or a few). Get the tagging right early, and your emails can be more relevant without a lot of extra work. This guide covers the basics, a practical setup, and the limits to expect. Features and interface labels can change, so confirm current details on the official Systeme.io site.

Tags vs. segments: what is the difference?

A tag is a label attached to a contact, such as "lead-magnet-checklist" or "customer-course-a". A segment is the group you get when you filter contacts by tags or other criteria. In practice, you create the tags, and the segments follow from them.

Tags are flexible, but they only work if you name them consistently and apply them automatically. Manual tagging gets forgotten.

Step 1: Decide what you need to know about contacts

Before you create anything, write down the questions you will want to answer when you send an email. Most small businesses need only a few categories:

Resist the urge to track everything. Each tag you add is one more thing to maintain.

Step 2: Use a naming convention

Pick a pattern and stick to it. For example:

Use lowercase and avoid near-duplicates like "Buyer" and "buyers". Messy names are the most common reason segments become unreliable.

Step 3: Create tags in Systeme.io

  1. Open your contacts area in the dashboard and find the tag management option.
  2. Create a new tag and give it the name you planned.
  3. Repeat for your starter set, ideally under ten tags.

Menu names may differ slightly from what is described here, so follow the labels you see in your account.

Step 4: Apply tags automatically

Automatic tagging is where the system earns its keep. There are a few common triggers:

On opt-in forms and funnels

Tag people when they submit a specific form. Someone who downloads a checklist gets the checklist tag, so you know why they joined. If you are still building your list, see How to Build an Email List from Scratch.

On purchase

Add a customer tag when someone buys a product. This lets you stop pitching what they already own and send relevant follow-ups instead.

Through automations

Automation rules and workflows can add or remove tags when something happens. The two tools differ in how much they can do, so read Automation Rules vs Workflows in Systeme.io before deciding which to use.

On import

If you are bringing in an existing list, you can tag those contacts so you can tell them apart from new sign-ups. Check Can you import an existing email list into Systeme.io? for the details and any consent considerations.

Step 5: Send to a segment

When you write a broadcast, choose the tag or tags you want to include as recipients. Our guide to writing and sending newsletters and broadcasts covers the sending process itself. Before sending to a new segment, check how many contacts it contains. If the number looks wrong, your tags are probably not being applied as you expected.

Step 6: Remove tags when they go stale

Tags should reflect the current state. When someone buys, remove the "prospect" tag. When a sequence ends, you may want to remove the "in-sequence" tag. Otherwise you will keep emailing buyers as if they were leads.

Honest trade-offs

Segmenting does not remove your duty to have permission to email people. Rules vary by country, so this is not legal advice; consult a qualified professional if you are unsure. Related reading: double opt-in support and GDPR considerations.

A simple checklist before you send

  1. Does each tag have a clear purpose?
  2. Are tags added automatically where possible?
  3. Have you removed outdated tags?
  4. Did you check the recipient count?
  5. Does the email match the reason the person joined?
